Management have asked for a forecast of costs on a job at the same time a claim is submitted for the month (this date at the latest is the last business day of the month).

Please see below for an overview of the timing for outgoing costs.

AP Costs

6th business day - the AP team would have entered all invoices for the previous month.

As a general rule the AP team will enter invoices received by the supplier within 24 hours of receiving the invoice.

Please note the JC Cost Details report runs off the AP Unapproved Invoice Entry Form in VP. AP get everything entered into VP by the 6th business day however this will mean most invoices will not be in the system when you need to forecast for the current month

You could potentially use the PO Purchase Orders by Job report or PO Drilldown however this is not accurate due to the following reasons:

· Potentially be costed to the job in AP Review

· PO has a figure based over a number of months

Payroll Costs

Costs will be available up until the last Tuesday of the month as the pay period week runs from Wednesday – Tuesday.

Payroll gets processed to Viewpoint by COB every Thursday.

Eg. Payroll costs will be actual until the last Tuesday of the month – from then till the last day of the month you will need to forecast (keep in mind it’s not processed until COB Thursday so the data won’t be in Viewpoint until then)

Potentially use Daily Foreman Logs to get an idea of costs from the last Tuesday till the end of the month.

Plant Hours Costs

Plant Hour costs will be available up until the last Tuesday of the month as the Plant Hours period runs from Wednesday – Tuesday.

Plant Hours gets processed to Viewpoint by COB every Friday.

Eg. Plant Hour Costs will be actual until the last Tuesday of the month - from then till the last day of the month you will then need to forecast (keep in mind it’s not processed until COB Friday so the data won’t be in Viewpoint until then).

Potentially use Daily Foreman Logs to get an idea of costs from the last Tuesday till the end of the month.

Diesel Costs

On the 3rd business day of the month Finance sends the Spreadsheet with a list of fuel costs for the job to the PM.

PM given 3rd, 4th & 5th business days to review and approve costs.

Costs are then processed and in Viewpoint by the 6th business day

Should be receiving dockets with amount and using an average rate of $1.25 to forecast.

Use Daily Foreman Logs to get an idea of outgoing costs.

Workshop Admin Charge (Small Plant and Equipment/Foreman’s Container)

These costs get processed to the job on the 6th business day.

Note these costs are calculated on the prior months claim submitted value not on the certified value. Make sure your claim amount is as accurate as possible.
